CrewCard Pricing Policy Effective December 2024

This pricing policy page provides a clear overview of what you can expect, specifically tailored for employment agencies across various industries, including labor hire and hospitality. Pricing may vary based on factors such as customization requests, add-ons, SMS credits, and other considerations.

Initial Set Up Fee

Note that a one-time set-up fee of $6,950 is required to configure and tailor our system to your specific needs.

Customisation Request

CrewCard Charges $175/Hr for customisation request, subjected to approval.

Note that we or our assignees own the intellectual property rights in all customisations and integrations. All feature suggestions will be considered however paid customisation is the only way to guarantee that requested features will be implemented according to an agreed estimated schedule and billed at an agreed hourly rate on a monthly basis. Please note, we do not provide fixed price quotes or agreements. Development is charged on an hourly basis.

Price per outgoing SMS unit (Maximum 160 Characters)

*Calculation of number of SMS units Information point:  The SMS system allows a maximum message size of 160 characters. If a user sends a longer message, the system splits into two or more separate SMS units that may be reassembled on delivery so that they appear to be a single message (or, on some handsets, may be delivered as a series of separate SMS). When a longer message is split in this way, the components are no more than 153 characters long, because seven characters are used to facilitate re-joining on delivery.
As a result, a longer message will result in more than one SMS unit being transmitted, and charges apply accordingly, as described in this clause.
Charges for Outgoing SMS will be based on the number of SMS units you send, calculated in accordance with the following rules:
(a) If you include any Unicode characters and send via a Unicode supported service, content that contains no more than 70 characters counts as one SMS unit. In all other cases, content that contains no more than 160 characters counts as one SMS unit.
(b) If you include any Unicode characters and send via a Unicode supported service, content that contains more than 70 characters counts as one SMS unit for each block of 67 characters or part thereof. In all other cases, content that contains more than 160 characters counts as one SMS unit for each block of 153 characters or part thereof.
(c) A ‘character’ includes each individual letter, digit, punctuation and other symbol in the Content.
(d) Each press of a ‘spacebar’ generates a separate character.
(d) Some special symbols and non-English letters may comprise more than one character and you will be charged accordingly.
(e) Where an SMS is sent to multiple End Users, each one is counted separately.

CrewCard Ad Hoc Services:

To gain access to the Recruits module an extra $99 per month is charged in the subscription. Each Recruit either enrolled or registered with a Recruit Card is charged at $1.00 per Recruit. Each Recruit that is Activated with a Crew Profile is charged at $4.00 per activated Crew Member.  Includes Compliance, Contracts and Resources Modules

Consultation means providing training to our partners how to best use CrewCard software for their circumstances. This including Rates, Rules, Activities and Categories Set Up or Maintenance, Xero Integration, MYOB Integration, Rental Point Integration, Resources Set Up, Actions Set Up, SWMS Set Up, Settings Set Up. Additional consulting services are charged at $299.00 per hour in 15 minute minimum increments, applied to your monthly tax invoice. $299.00 per hour plus travel and accommodation expenses (min 4hrs) Video call or phone call consultation $149.00 per / hr (min 2hrs) Personnel Manager is unable to provide phone or after hours support for out of contract partners. Prices for out of contract partners are higher than in contract partners.

White labelling entails the rebranding of your company name, logo, and potential minor adjustments to button colours, headers and footers within the app environment, subject to the express written permission of CrewCard. App names should be limited to a maximum of 10 characters. Please note that white labelling does not extend to web portals in any capacity. “Per App” refers to either iOS or Android platforms.

The initial cost for white labelling either the iOS or Android app is $25,000, with an ongoing monthly cost of $2,000. To white label both the iOS and Android apps, the initial cost would be $50,000, with an ongoing monthly cost of $2,000, in addition to any other subscription or ad hoc charges incurred.

Premium Support Package is charged at an additional $250 per month to your subscription and includes:

  • Support is available from 9.00am – 5.00pm Monday – Friday AEST.
  • Support provided by telephone or email, Skype or other messaging in our discretion. A maximum of 12 email or message support requests are included. The total duration of the email or message requests in a month may not exceed 180 minutes of support staff time. A maximum of 6 support calls per month are included.
    The total duration of the support calls in a month may not exceed 90 minutes.


After hours support charges may apply, in our absolute discretion. Additional support, over and above the inclusions in the Basic Support package, will be charged at the rates set out under “Off-package Support Hours” below.
You may select a higher level of support at lower hourly rates by subscribing to our CrewCard Plan Support Package which represents a potential cost saving of $151 per month.

Appendix 1.1

Please note that premium plans are billed monthly.

* Workers – Please note that the included 10 workers refer to actual workers confirmed on shifts. If there are more than 10 active workers, a fee of $3 per week will be charged for each additional worker beyond the included 10.

* Super Clearing – This ATO-approved Single Touch Payroll and Super Clearing House module integrates seamlessly with CrewCard, ensuring efficient and compliant payroll and superannuation management.

*Support – Support means providing technical advice on how to operate CrewCard software. If we determine that your call is for a consultation rather than support, we will notify you and you will be charged at consultation rates set out below.

* Basic Support Package – To be eligible for our Basic support package you must  have a existing non-discounted CrewCard Plan.

  • Support is available from 9.00am – 5.00pm Monday – Friday AEST.
  • Support provided by telephone or email, Skype or other messaging in our discretion. A maximum of 4 email or message support requests are included. The total duration of the email or message requests in a month may not exceed 60 minutes of support staff time.
  • A maximum of 2 support calls per month are included. The total duration of the support calls in a month may not exceed 30 minutes.

*User Types – Below outlines the type of User accounts for the CrewCard Plan.

  1. Administrator: Each CrewCard Plan account has 1 Admin User assigned by default
  2. Duty Managers: Duty Managers assigned by the Administrator in Admin Settings
  3. Confirmed Staff: Each staff member confirmed on a Shift during a monthly billing cycle.
  4. Charges will still apply if a confirmed shift is deleted or if a confirmed staff member is replaced or removed from the shift.

Below outlines the type of User accounts for  CrewCard Apps Access, that are available on the CrewCard App and the CrewCard Crew App.

  1. Admin User – 1 Admin User who has registered for a CrewCard App Platform Account.
  2. Management User- A Manager who has registered for a CrewCard App Platform Account. The Partner can determine the amount of Manager Users it wishes to register, subject to the payment of the Service Charges above.
  3. Staff User – Staff members who has registered for a CrewCard Staff App Platform Account
