Illustrative summary of the information available in Timesheet History.

Keeping track of shift hours is important for both crew members and workforce managers. From scheduled start times to actual working hours, recorded breaks and timesheet approvals, having clear access to this information helps everyone stay informed.

CrewCard's Timesheet History in CrewCard feature gives crew members greater visibility of their shift records directly from the app. As part of CrewCard's workforce management software, it helps crew review recorded hours, breaks and approval information.

With this feature, crew can review scheduled and actual shift times, check their paid hours and approval status, and access a detailed history of timesheet changes — even after a timesheet has been locked.

Greater Visibility of Shift Hours and Breaks

Previously, crew members could see their shift information through the Job Details page. The Timesheet History feature brings additional timesheet information together in a dedicated section, making it easier to review the difference between scheduled and actual working hours.

Within Job Details → Timesheet History, crew members can view:

◴

Scheduled Shift Times

View the original scheduled start time and estimated finish time for each shift.

☰

Scheduled Breaks

Review breaks assigned to the shift, including additional scheduled breaks where applicable.

◷

Actual Check-in & Check-out

See the recorded times when crew members started and finished their shift.

◔

Actual Breaks

Review the breaks taken during the shift, including recorded start times, finish times and duration.

✓

Paid Hours & Approval

Check actual working hours, paid hours information and whether the timesheet is pending approval or approved.

ⓘ

Minimum Call

View the minimum call hours applicable to the shift, with information customised by the administrator.

What's improved? Crew members can review their shift records in one place without relying solely on their original booking information.

View a Detailed History of Timesheet Changes

Beyond the Timesheet History summary, crew members can access the Timesheet Details & History page.

When enabled by an administrator, an arrow appears beside the Timesheet History heading on the Job Details screen. Tapping this arrow opens a dedicated page containing two sections:

Shift Times Summary

A detailed breakdown of the scheduled and recorded shift information, including:

  • Scheduled times
  • Scheduled breaks
  • Actual working times
  • Actual breaks
  • Approved paid hours
  • Minimum call hours

Times & Change History

A chronological record of the activities and changes associated with the timesheet.

History entries can include timestamps, the user associated with an action and any recorded reasons or notes.

This provides greater visibility of how the timesheet progressed through each stage.

What Does the Change History Show?

Depending on the timesheet events recorded, the history may include:

Booking Created

When the shift booking was originally created.

Scheduled Breaks Added

When scheduled breaks were added to the booking.

Checked In

When the crew member checked in and their actual start time.

Break Added

The actual break start and finish times recorded during the shift.

Checked Out

When the crew member checked out and their actual finish time.

Hours Approved

The approved working hours, approving user and any recorded reason or notes.

Timesheet Locked

When the timesheet was locked, with editing disabled for crew members.

Timesheet Records Remain Visible After Locking

An important part of this feature is the ability to access timesheet information after a shift has been finalised.

When a timesheet is locked, a Timesheet Locked indicator appears within the Timesheet History section.

Crew members can still review their scheduled times, actual hours, breaks, approved paid hours and recorded change history.

Locked timesheets are view-only. Crew members can continue reviewing their timesheet records, but cannot make further changes to the locked timesheet.

This helps preserve the timesheet record while keeping the information accessible for reference.

Flexible Settings for Administrators

CrewCard administrators can control the feature through General Settings → Crew App.

Three settings are available:

1. Display Timesheet History in Job Details

Enables the Timesheet History section on the CrewCard App's Job Details page.

2. Minimum Call Text in Job Details

Allows administrators to customise the explanation of minimum call arrangements displayed to crew.

3. Display Timesheet Details & History Page

Enables access to the detailed shift time summary and timesheet change history through an arrow beside Timesheet History.

Default configuration: All three settings are disabled by default, allowing administrators to decide when to make these features available to their crew.

Why Timesheet Transparency Matters

For businesses managing shift-based workforces, timesheet information often passes through several stages, from scheduling and check-in through to approval and locking.

Making this information accessible to crew members offers several practical benefits.

Clearer Shift Records

Crew can compare scheduled hours with actual times recorded during their shift.

Better Visibility of Breaks

Scheduled and actual breaks are displayed separately for easier reference.

Improved Approval Transparency

Crew members can view timesheet approval status and relevant approval events.

Accessible Historical Records

Locked timesheets remain available for reference without allowing further crew edits.

Fewer Routine Enquiries

Giving crew access to their records may reduce requests for information about hours and breaks.

Better Communication

Shared visibility of recorded information supports clearer communication between crew and administrators.

Supporting More Transparent Workforce Management

Timesheet History & Details extends the information available in the CrewCard App, making it easier for crew members to understand how their working hours are recorded and approved.

By combining scheduled times, actual hours, breaks, approval information and a chronological change history, CrewCard provides a more complete view of each shift's timesheet record.

Whether a timesheet is awaiting approval or has already been locked, crew members can access the relevant information directly from their Job Details page.
