User Guide: Unique Job Colours in CrewCard Graph View
Overview
CrewCard's Unique Job Colours feature helps administrators tell jobs apart in Graph View.
When enabled, CrewCard gives each job a different automatic colour within the same month. You can also set a custom colour for a Job Sheet.
To make this easier, the Set JobSheet Graph Colour action is available from several pages, including Shifts, Shift Edit, Job Sheet, Events Booking and Timesheets.
1. Enable Unique Job Colours
First, turn on the feature in General Settings.
- Log in to the CrewCard Admin Portal.
- Open Settings → General Settings.
- Find Set JobSheet Graph Colour.
- Switch the setting to ON.
- Save your changes.
Default Setting: OFF
When enabled, CrewCard automatically uses different colours for jobs in Graph View.
Set JobSheet Graph Colour
Setting information:
When enabled, each job will have a different colour in the Graph View.
2. Where to Set Job Sheet Graph Colours
You can access the Set JobSheet Graph Colour action from several parts of CrewCard.
This means you do not need to return to the Shifts page every time you want to change a Job Sheet colour.
Select a shift, open Actions and choose Set JobSheet Graph Colour.
Access the action while working with a shift in Shift Edit.
Open the Options menu and choose Set JobSheet Graph Colour.
Use the action when working with shifts in Events Booking.
Access the same Job Sheet colour action from the Timesheets page.
How it works: When you select a shift, CrewCard identifies the Job Sheet linked to that shift. You can then view or update the colour for that Job Sheet.
The colour is saved against the Job Sheet, rather than the individual shift.
3. Set a Job Sheet Colour from the Shifts Page
The Shifts page provides a quick way to set the colour for a Job Sheet linked to a selected shift.
- Go to Jobs → Shifts.
- Tick the checkbox beside the shift you want to use.
- Open the Actions menu.
- Select Set JobSheet Graph Colour.
- CrewCard identifies the Job Sheet linked to the selected shift.
- Choose a colour for that Job Sheet, then click Save.
Important: Selecting a shift does not create a separate colour for that shift. The selected colour applies to the Job Sheet associated with it.
4. Set Job Sheet Colours from Other Pages
From the Job Sheet Page
You can also change the colour while working directly in a Job Sheet.
- Open the relevant Job Sheet.
- Find the Options menu at the bottom of the page.
- Open the menu and select Set JobSheet Graph Colour.
- Choose or update the colour for the Job Sheet.
- Click Save to apply the change.
From the Shift Edit Page
The same action is available while working with a shift in Shift Edit.
Open the Shift Edit page for the relevant shift, then use Set JobSheet Graph Colour to manage its linked Job Sheet colour.
The colour is applied to the Job Sheet, not only to the shift being edited.
From Events Booking
You can also update Job Sheet colours while working on an event booking.
- Open the relevant Events Booking.
- Select the shift linked to the Job Sheet you want to update.
- Open the Options menu.
- Select Set JobSheet Graph Colour.
- Choose the colour for the linked Job Sheet.
- Click Save.
From the Timesheets Page
You can also update a Job Sheet colour from the Timesheets page.
- Open the Timesheets page.
- Select the relevant shift entry on the timesheet.
- Open the Options menu.
- Select Set JobSheet Graph Colour.
- CrewCard identifies the Job Sheet linked to that shift.
- Choose the colour for the Job Sheet.
- Click Save.
Note: The selected colour applies to the Job Sheet linked to the shift, not to the individual timesheet row only.
5. Choose or Remove a Custom Job Sheet Colour
The Job Sheet Graph Colour pop-up lets you manage colours for individual Job Sheets.
- Open Set JobSheet Graph Colour from a supported page.
- Find the relevant Job Sheet in the pop-up.
- Click its colour field.
- Select your preferred colour.
- Repeat for any other Job Sheets you want to update.
- Click Save.
If a Job Sheet already has a colour, the selected colour appears in its field.
To remove a custom colour, click the X beside it. The field will then display No colour selected.
Click Save after making your changes.
6. How Colours Are Displayed in Graph View
CrewCard follows a set of rules to decide which colour appears for each job in Graph View.
Custom Job Sheet Colour
If a custom colour is selected for a Job Sheet, CrewCard uses that colour in Graph View.
The custom Job Sheet colour takes priority over the colour configured in Settings or assigned automatically.
Automatic Job Colours
If no custom colour is selected, CrewCard uses the applicable Settings or automatic colour logic.
With automatic job colours enabled:
- Each job gets a different automatically assigned colour within the same month.
- Automatically assigned colours do not repeat within that month.
- However, colours may be reused in a different month.
Example automatic colour
Different colour in the same month
Another colour in the same month
The colours above are examples only. Actual colours depend on the Job Sheet or automatic colour settings.
Colour Priority
| Situation | Colour Used in Graph View |
|---|---|
| Custom Job Sheet colour selected | The custom Job Sheet colour |
| No custom Job Sheet colour selected | Applicable Settings or automatic colour |
| Another job in the same month | A different automatic colour |
| Job in another month | An automatic colour may be reused |
Example: A job in October may receive a blue automatic colour. Another job in October will receive a different automatic colour.
However, CrewCard may use blue again for a job in November.
7. Important Notes
- Set JobSheet Graph Colour in General Settings is OFF by default.
- The colour belongs to the Job Sheet, not the individual shift.
- When a shift is selected, CrewCard identifies its linked Job Sheet for colour selection.
- The colour action is available from Shifts, Shift Edit, Job Sheet, Events Booking and Timesheets.
- Custom Job Sheet colours take priority over Settings and automatic colours.
- If no custom colour is selected, the applicable Settings or automatic colour is used.
- Automatically assigned colours do not repeat within the same month.
- Automatic colours may be reused in another month.
- Click Save after setting, changing or removing a custom Job Sheet colour.
